Return & Refund Policy

Questions about an order? We handle returns and issues on a case-by-case basis and are committed to working with you toward a fair resolution. Please contact us before returning any item: customerservice@scholarsupplyco.com

1. Our Approach to Returns

Scholar Supply Co. serves educational institutions and professional buyers. We understand that procurement situations can be complex — orders may be duplicated, items may arrive damaged, or needs may change. We are committed to resolving issues fairly and efficiently.

All return and refund requests are reviewed individually. We ask that you contact us within 14 days of delivery to initiate any return or dispute.

2. Eligible Returns

Items may be eligible for return or exchange under the following conditions:

  • The item arrived damaged or defective
  • The incorrect item was shipped (our error)
  • The item does not match its description in a material way
  • A duplicate order was placed in error (must be reported within 5 business days of order placement)

3. Items Not Eligible for Return

The following items are generally not eligible for return:

  • Items that have been opened, used, or partially consumed
  • Custom or special-order items sourced specifically for your institution
  • Items returned more than 14 days after delivery
  • Items returned without prior authorization from Scholar Supply Co.
  • Clearance or final-sale items (noted at time of purchase)

4. Branded & Logo Items — All Sales Final

Items bearing the Scholar Supply Co. or Essential Supply Group™ logo, custom-branded merchandise, or any product produced with school or institution-specific branding are not eligible for return or exchange under any circumstances. All branded item sales are final at the time of purchase. This applies regardless of whether the item is unused or unopened.

Please review all branding specifications carefully before confirming a branded order. If you have questions about a branded product before purchase, contact us at customerservice@scholarsupplyco.com.

5. Uniform Program Orders — Vendor Policy Governs

Uniform orders fulfilled through Scholar Supply Co.'s vendor partners (including French Toast and other uniform suppliers) are subject to the return and refund policy of the applicable vendor. At the time your uniform program order is confirmed, Scholar Supply Co. will provide you with the relevant vendor return policy for your review.

Scholar Supply Co. acts as a program coordinator for uniform orders and does not independently accept uniform returns. All return requests for uniform items must be directed through the process outlined in the vendor's policy. We will assist in facilitating communication with the vendor as needed.

6. Curriculum Materials

Curriculum materials — including printed workbooks, lesson sets, instructional kits, and any digital or downloadable content — are subject to the following:

  • Unopened physical curriculum materials may be returned within 14 days of delivery in original condition
  • Opened, partially used, or written-in materials are not eligible for return
  • Digital and downloadable materials are non-returnable once accessed or downloaded
  • Custom or school-specific curriculum assemblies are final sale

7. How to Request a Return

Contact us

Email customerservice@scholarsupplyco.com with your order number, a description of the issue, and photos if the item is damaged.

Receive authorization

We will review your request and respond within 3 business days. Unauthorized returns may be refused or returned to sender.

Ship the item

Once authorized, we will provide return instructions. Items must be securely packaged and shipped in original or comparable packaging.

Resolution

Upon receipt and inspection, we will issue a replacement, credit, or refund as agreed.

8. Refunds

Approved refunds will be issued via the original payment method within 5–10 business days of return receipt. For institutional purchase orders, a credit memo will be issued to your account.

Shipping charges are non-refundable unless the return is due to our error or a defective item.

9. Damaged or Lost Shipments

If your order arrived visibly damaged, please document the damage with photos at the time of delivery and contact us within 48 hours. For lost shipments, please allow the carrier's standard investigation window before we can initiate a claim or replacement.
